Safety Policy – The School Bus Transportation

This Safety Policy outlines The School Bus Transportation's commitment to ensuring the safety, welfare, and wellbeing of every child who uses our transport services. It establishes the standards, procedures, and responsibilities that govern all aspects of our operations.

We believe that every child deserves to travel safely, and every parent deserves complete peace of mind. This policy underpins everything we do.

Scope

This policy applies to:

  • All employees, contractors, and volunteers working for or on behalf of The School Bus Transportation
  • All vehicles operated or commissioned by the company
  • All journeys including school runs, after-school club transport, holiday club transport, and group bookings
  • All passengers, parents, guardians, schools, and partner organisations

Safeguarding Commitment

The safety and safeguarding of children is our highest priority. We are committed to creating and maintaining a safe environment for every child in our care.

  • All staff undergo Enhanced DBS (Disclosure and Barring Service) checks before commencing employment
  • DBS checks are renewed regularly in line with statutory requirements
  • All team members complete mandatory safeguarding training
  • We maintain a strict zero-tolerance policy towards any form of abuse, neglect, or inappropriate behaviour
  • A designated Safeguarding Lead oversees all child protection matters within the organisation

Staff Responsibilities

Every member of our team has a duty of care to the children we transport. Staff responsibilities include:

  • Maintaining professional conduct at all times when interacting with children and families
  • Reporting any safeguarding concerns immediately to the designated Safeguarding Lead
  • Following all operational procedures as outlined in training and company handbooks
  • Ensuring vehicles are safe, clean, and roadworthy before every journey
  • Carrying identification at all times while on duty
  • Never using personal mobile devices while supervising children or driving

Vehicle Safety Standards

All vehicles in The School Bus Transportation fleet are maintained to the highest safety standards:

  • 100% electric fleet, reducing emissions and noise pollution
  • Daily pre-journey vehicle inspections covering brakes, tyres, lights, seatbelts, and cleanliness
  • Regular servicing and MOT compliance in line with DVSA requirements
  • Fitted with GPS tracking for real-time journey monitoring
  • Equipped with driver cam for the safety of passengers and staff
  • All vehicles carry first aid kits and emergency equipment
  • Age-appropriate child restraints and seatbelts fitted as standard

Boarding and Drop-Off Procedures

We follow strict procedures to ensure children are safely collected and delivered:

  • Children are only released to authorised adults listed by the parent or guardian
  • A register is taken at boarding and drop-off to confirm attendance
  • Parents and guardians receive real-time notifications when their child boards and alights
  • If an authorised adult is not present at the drop-off point, the child remains on the vehicle and the parent is contacted immediately

Behaviour and Conduct

To maintain a safe and pleasant environment for all passengers, we uphold clear behavioural expectations:

  • Children must remain seated and wear seatbelts for the duration of the journey
  • Bullying, aggression, or disruptive behaviour will not be tolerated
  • Staff are trained in positive behaviour management and de-escalation techniques
  • Persistent behavioural issues will be raised with parents and the school, and may result in suspension from the service

Emergency Procedures

All staff are trained in emergency response procedures, including:

  • Vehicle breakdowns and roadside emergencies
  • Medical emergencies and first aid response
  • Evacuation procedures for all vehicle types

Emergency contact details for parents and schools are held securely and are accessible to authorised staff at all times. In the event of an incident, parents will be notified as soon as it is safe and practical to do so.

Communication with Parents

We believe that open and transparent communication with parents is essential to maintaining trust and safety:

  • Parents have access to real-time GPS tracking of their child's journey via the parent portal
  • Automated notifications are sent at key journey milestones (boarding, arrival)
  • Parents can contact the team directly via the app or via email
  • Any changes to routes, timings, or staffing are communicated in advance wherever possible
  • Feedback and concerns are welcomed and addressed promptly

Incident Reporting

All incidents, accidents, and near-misses are recorded, reported, and reviewed:

  • Staff complete an incident report form as soon as reasonably practicable after any event
  • Parents are notified of any incident involving their child on the same day
  • Serious incidents are reported to the relevant authorities as required by law
  • All incidents are reviewed by the management team to identify trends and implement preventive measures
  • Records are retained securely in compliance with data protection regulations

Continuous Safety Review

Safety is not a one-time commitment — it is an ongoing process. We are dedicated to continuously improving our safety standards:

  • This policy is reviewed annually and updated in response to legislative changes, incidents, or feedback
  • Staff receive ongoing training and refresher courses
  • Regular audits of vehicles, routes, and operational procedures are conducted
  • Parent and school feedback is actively used to improve safety practices
